E-invoicing 2027: what businesses in Germany need to do now

Margarita · Kosmo Team · 24 October 2026 · 4 min read
In shortSince 1 January 2025, all businesses in Germany must be able to receive e-invoices from other businesses. From 1 January 2027, businesses with more than €800,000 in revenue in the previous year must also send e-invoices, and from 1 January 2028 all businesses must. A PDF sent by email will then no longer count.

What is an e-invoice?

An e-invoice is an invoice in a structured, machine-readable format. Accounting software can read it automatically. A PDF or a scan is not an e-invoice in the legal sense, even if it arrives by email.

Common formats in Germany:

Which deadlines apply?

Please check with your tax adviser whether any exceptions apply to your business. We do not give tax advice.

Why start early?

Many small and mid-sized businesses don’t have suitable software yet or don’t use it properly. Typical problems:

If you switch now, you have time to test. And incoming e-invoices can be processed automatically, which already saves time today.

How does the switch work?

  1. Review: How do you write and receive invoices today, and which software do you use?
  2. Choose and set up a tool: for example lexoffice or sevdesk, connected to DATEV through your tax adviser.
  3. Outgoing invoices: templates in XRechnung or ZUGFeRD, test invoices, validity checks.
  4. Incoming invoices: recognise them automatically and pass them on to accounting.
  5. Set up an archive that meets the GoBD rules.
  6. Short training for the team.

Frequently asked questions

Will a PDF by email still be enough from 2027?

Not for businesses with more than €800,000 in revenue in the previous year, and from 2028 not for anyone. Please check exceptions with your tax adviser.

Which format should I choose?

For most businesses ZUGFeRD is a good start, because both people and software can read the invoice. Public-sector clients usually ask for XRechnung.

Do I have to change my accounting software?

Not necessarily. Many programs already support e-invoices. What matters is that they are set up correctly and connected to your accounting.

Do you also give tax advice?

No. We take care of the technology. Your tax adviser answers tax questions.
